All planning and service fees are non-refundable. Because each itinerary is customized, time and expertise cannot be unwound once work has begun. Any exceptions are made at the sole discretion of Soul Free Travels.
By engaging Soul Free Travels to plan or book your travel, you agree to the following Terms and Conditions.
Soul Free Travels provides professional travel planning and coordination services. These may include—but are not limited to—arranging airfare, accommodations, activities, transportation, travel insurance, and other travel-related services through third-party suppliers.
Soul Free Travels acts as an intermediary between you and travel suppliers (including airlines, hotels, tour operators, and other vendors).
All bookings are subject to the individual terms, conditions, and policies of those suppliers.
While we take great care in recommending trusted partners, Soul Free Travels is not responsible for the acts, errors, or omissions of third parties or for circumstances beyond our control.
You may be asked to complete a credit card authorization form to facilitate payments to suppliers.
Charges will never be made without your consent. Any provided total is an estimate of your trip cost. Should the final amount exceed the estimate, a new authorization will be requested prior to processing.
Soul Free Travels charges a planning fee to compensate for the professional time, research, and expertise involved in building your itinerary.
For most trips, the fee is $300.00 for itineraries lasting 10 days or less.
For trips longer than 10 days, the fee is $30.00 per day.
A last-minute planning fee of $100.00 applies to trips lasting 10 days or less with a single destination (one accommodation).
“Last minute” refers to departures scheduled within 15 days of retaining our services.
For multi-destination or more complex trips, this fee may vary and will always be discussed transparently with you before planning begins.
In some cases, no planning fee applies when you already have all essential details of your trip—such as exact travel dates, destination(s), accommodations, and the specific services you wish to book—meaning no additional research is required.
Even when no planning fee is charged, the value of working with a professional travel advisor remains significant.
Soul Free Travels continues to provide a structured and organized itinerary, confirm travel arrangements, share destination insights, and offer support while you are traveling.
Having a dedicated advisor ensures every detail of your trip is managed with care, and that you have access to reliable guidance if your plans change.
Our role is to simplify logistics, safeguard your investment, and ensure a seamless, worry-free travel experience—whether your plans are fully formed or still evolving.
Certain destinations or itineraries may incur higher planning fees due to their complexity, unique entry requirements, or specialized logistics. Any such adjustments will be discussed and agreed upon before planning begins.
Group travel, destination weddings, special events, and affinity trips often involve additional coordination. Fees for these are determined on a case-by-case basis, depending on the level of service required.
Concierge fees apply for special requests made during planning or travel, including but not limited to:
Restaurant reservations
Private tours or exclusive experiences
Event, concert, or sporting tickets
Security or childcare arrangements
Non-commissionable or custom activities
Concierge fees are typically $25.00 per occurrence, though for complex or time-intensive arrangements, the fee may be up to 10% of the service cost.
For non-commissionable accommodations and certain vacation rentals (such as villas, homes, or apartments), if research and verification are required, a fee of 2.5% to 10% of the total pre-tax cost of the stay may apply.
Many independent properties operate differently than hotels, requiring additional coordination and confirmation. For example, if you select a property through Airbnb, Soul Free Travels first attempts to source it through a trusted partner that provides commission at no additional cost to you. We also verify the property’s legitimacy to protect you from potential fraud.
In cases where suppliers provide no commission, a 10% service fee on the total pre-tax booking cost will apply. This compensates for the professional time spent confirming, communicating, and ensuring that your rental experience is legitimate and seamless.
When partial commissions exist, this fee may be reduced to align with industry standards.
Our goal is to protect your interests, ensure supplier transparency, and maintain high standards of safety and trust.
All planning and concierge fees are non-refundable and cover services such as itinerary design, research, booking coordination, and ongoing client support before and during travel.
If you prefer to receive only the planning portion of our services and do not provide payment information for bookings, the fee is $100 per day, including travel days.
For groups larger than four travelers, an additional $30 per day will apply for every two travelers beyond the first four.
This fee reflects the professional time and care required to produce a comprehensive itinerary without handling supplier payments.
Please note that when you book independently, our ability to make changes or manage those arrangements may be limited, as control remains with the booking party.
All change and cancellation requests are subject to the policies of the suppliers involved, which may include fees or penalties.
Soul Free Travels is not responsible for refund decisions made by third-party vendors.
If you cancel your trip after planning has begun, a cancellation fee of $25.00 per day of the trip will apply. This fee reflects the time, communication, and coordination already dedicated to your itinerary.
If cancellation occurs before any reservations have been made, we may waive this fee at our discretion.
Planning fees are non-refundable, but in many cases, a portion may be applied as a credit toward a future trip with a similar itinerary.
We strongly recommend purchasing travel insurance to protect your investment.
Travel insurance is highly recommended. It may protect you against unexpected cancellations, interruptions, delays, or medical emergencies.
Soul Free Travels cannot be held liable for losses that occur as a result of declining coverage.
Clients are responsible for providing accurate personal information (including legal names), valid travel documents, and compliance with all entry, visa, and health requirements for their destinations.
Timely communication is essential. Rates and availability can change quickly, and delays in response may cause the loss of preferred options or require repeat research, which may affect pricing and planning timelines.
Soul Free Travels is not liable for injury, loss, delay, damage, or inconvenience resulting from circumstances beyond our control, including but not limited to weather, natural disasters, government actions, strikes, or supplier defaults.
All travel carries inherent risks. By engaging Soul Free Travels, you acknowledge these risks and agree to hold Soul Free Travels harmless from any resulting damages or expenses.
Soul Free Travels is happy to assist with flight research and ticketing that aligns with your preferences and itinerary.
You are also welcome to book flights independently; however, please note that when tickets are purchased outside of our booking system, our ability to manage or modify those reservations may be limited.
Air ticketing services are billed separately and will always be discussed in advance.
Fees range from $30.00 to $150.00 per ticket, depending on itinerary complexity. This reflects the time required to research, coordinate, and assist with flight arrangements—including airline changes and rebookings when needed.
All flight confirmations are made with your approval.
Information is handled securely and confidentially, and in many cases, air service fees may be covered or reimbursed by travel insurance.
Even if you book flights independently, we remain happy to provide general guidance or direction whenever possible to help you navigate airline policies or next steps.
At times, Soul Free Travels provides assistance at no cost—typically when you already know exactly what you wish to book, such as a specific hotel, cruise, tour, or car rental.
Even when no planning fee applies, working with a travel advisor provides added value through access to exclusive rates, special amenities, and professional coordination for requests such as early check-ins or upgrades.
Planning fees apply only when customized research or itinerary coordination is required, and these will always be discussed transparently before work begins.
